uniFLOW Online’s Filing Assist* saves you time, reduces keying errors and brings consistency to your filing so you can find what you need, when you need it, anywhere you have internet access; at home, work or on the go.

Filing Assist uses pre-configured workflows that scan batches of repetitive documents including invoices, delivery notes, picking lists and orders to popular cloud services. Not only are they scanned, they are named, converted and filed based on rules and information from the document.

How Filing Assist Works

Until recently scanning was only used to archive documents and filing and indexing was performed manually. Today scanning has become increasingly important as business requirements have evolved. Batches of documents need to be scanned in one go, automatically completed with file name and metadata before they are stored in different cloud services.

Scanning at the device

Authentication at the device, batches of documents can be scanned silently in no time, by utilising pre-configured filing assist scan workflows. Scan jobs are sent to the cloud for further processing.

  • Processing in the cloud

    Once uploaded, documents are processed. Document types are automatically recognised, based on document structure and fixed text positions, and file name and metadata are pre-populated.

  • Validating at your desk

    Back at the desk, the scans are available in the uniFLOW Online Scan Center. The user is able to screen all scanned documents to check if the pre-populated file name and metadata are correct. If there are errors, the preview can be opened to edit the OCR-result or simply select a different OCR block which meets the metadata requirement. Changes are applied accordingly. Once done, documents are submitted to their final destination by hitting the ‘Send’- button.
