Setting the Machine to Send/Receive E-Mail/I-Fax

For the settings before sending/receiving e-mail/I-fax (related information), setting the IP address (related information), confirming necessary information for sending/receiving e-mail and I-fax (related information), and setting the machine for sending/receiving e-mail and I-fax are required.

This section describes the machine settings for sending/receiving e-mail and I-fax after setting the IP address and confirming necessary information for sending/receiving e-mail and I-fax.

For some network providers, settings for the SMTP authentication or POP before SMTP authentication may be required. Make the settings as required.

Settings from the Machine (E-Mail/I-fax)

To set up the Scan to E-mail and I-fax function, follow the procedure below.

The default settings are as follows:

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖System Management Set.⋗, then press [OK].

If the System Manager ID and System Password have been set, enter the System Manager ID and System Password using - (numeric keys), then press (Log In/Out).

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Network Settings⋗, then press [OK].

5. Press the right Any key to select ⋖Done⋗.

6. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail/I-Fax⋗, then press [OK].

7. Use [ ] , [ ] or (Scroll Wheel) to select ⋖SMTP Server⋗, then press [OK].

8. Use the software keyboard to enter the SMTP server address, then press the right Any key to select ⋖Set⋗.

9. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail Address⋗, then press [OK].

10. Use the software keyboard to enter the e-mail address for this machine, then press the right Any key to select ⋖Set⋗.

Caution

11. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Authentication/Encryption⋗, then press [OK].

12. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP Auth. Before Send⋗, then press [OK].

13. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Off⋗, then press [OK].

14. Use [ ] , [ ] or (Scroll Wheel) to select ⋖SMTP Authentication⋗, then press [OK].

15. Use [ ] , [ ] or (Scroll Wheel) to select ⋖On⋗, then press [OK].

16. Use [ ] , [ ] or (Scroll Wheel) to select ⋖User Name⋗, then press [OK].

17. Use the software keyboard to enter the SMTP user name for the authentication method, then press the right Any key to select ⋖Set⋗.

18. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Password⋗, then press [OK].

19. Use the software keyboard to enter the SMTP password for the authentication method, then press the right Any key to select ⋖Set⋗.

20. Press the right Any key to select ⋖Set⋗.

21. Press (Main Menu) to return to the Main Menu screen.

22. Restart the machine.

Turn OFF the machine and wait at least 10 seconds before turning it ON again.

If your provider does not use any authentication program, proceed to "Specifying the destination."

When POP before SMTP Authentication is Used

When POP before SMTP authentication is used, follow the procedure below to set up the Sending E-mail/I-fax function.

Caution

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖System Management Set.⋗, then press [OK].

If the System Manager ID and System Password have been set, enter the System Manager ID and System Password using - (numeric keys), then press (Log In/Out).

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Network Settings⋗, then press [OK].

5. Press the right Any key to select ⋖Done⋗.

6. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail/I-Fax⋗, then press [OK].

7. Use [ ] , [ ] or (Scroll Wheel) to select ⋖SMTP Server⋗, then press [OK].

8. Use the software keyboard to enter the SMTP server address, then press the right Any key to select ⋖Set⋗.

9. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail Address⋗, then press [OK].

10. Use the software keyboard to enter the e-mail address for this machine, then press the right Any key to select ⋖Set⋗.

11. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Authentication/Encryption⋗, then press [OK].

12. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP Auth. Before Send⋗, then press [OK].

13. Use [ ] , [ ] or (Scroll Wheel) to select ⋖On⋗, then press [OK].

14. Use [ ] , [ ] or (Scroll Wheel) to select ⋖SMTP Authentication⋗, then press [OK].

15. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Off⋗, then press [OK].

16. Press (Main Menu) to return to the Main Menu screen.

17. Restart the machine.

Turn OFF the machine and wait at least 10 seconds before turning it ON again.

When a POP Server is Used

When a POP server is used, follow the procedure below to set up the E-mail and I-fax reception function.

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖System Management Set.⋗, then press [OK].

If the System Manager ID and System Password have been set, enter the System Manager ID and System Password using - (numeric keys), then press (Log In/Out).

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Network Settings⋗, then press [OK].

5. Press the right Any key to select ⋖Done⋗.

6. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail/I-Fax⋗, then press [OK].

7. Use [ ] , [ ] or (Scroll Wheel) to select ⋖SMTP Receive⋗, then press [OK].

8. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Off⋗, then press [OK].

9. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP⋗, then press [OK].

10. Use [ ] , [ ] or (Scroll Wheel) to select ⋖On⋗, then press [OK].

Caution

11. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP Server⋗, then press [OK].

12. Use the software keyboard to enter the POP server address, then press the right Any key to select ⋖Set⋗.

13. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP address⋗, then press [OK].

14. Use the software keyboard to enter the POP address, then press the right Any key to select ⋖Set⋗.

15. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP password⋗, then press [OK].

16. Use the software keyboard to enter the POP password, then press the right Any key to select ⋖Set⋗.

17. Use [ ] , [ ] or (Scroll Wheel) to select ⋖POP Interval⋗, then press [OK].

18. Use [ ] , [ ] or (Scroll Wheel) to set the interval at which you want to check the POP server for incoming e-mail, then press [OK].

You can also use the numeric keys to enter the interval.

19. Press (Main Menu) to return to the Main Menu screen.

20. Restart the machine.

Turn OFF the machine and wait at least 10 seconds before turning it ON again.

Registering E-Mail/I-Fax Addresses

To send an e-mail/I-fax, specifying address is required. As well as entering an e-mail/I-fax address directly, you can specify the e-mail/I-fax address using the Address Book or One-touch registered beforehand. This section describes the instructions on how to register e-mail/I-fax addresses in the Address Book or One-touch.

Caution

Storing in the Address Book

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Address Book Settings⋗, then press [OK].

If a password has been set for the Address Book, enter the password to enter Address Book Settings menu. Enter the password using - (numeric keys), then press [OK].

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Register Address⋗, then press [OK].

5. Press the right Any key to select ⋖Register New⋗.

6. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail⋗ or ⋖I-Fax⋗, then press [OK].

7. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Register Name⋗, then press [OK].

8. Use the software keyboard to enter the recipient's name.

You can enter up to 16 characters for the recipient's name.

Caution

9. If you are finished, press the right Any key to select ⋖Set⋗.

10. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Destination Registration⋗, then press [OK].

11. Use the software keyboard to enter the recipient's e-mail/I-fax address.

You can enter up to 120 characters for e-mail/I-fax address.

12. If you are finished, press the right Any key to select ⋖Set⋗.

13. Press the right Any key to select ⋖Register⋗.

If you want to register another e-mail/I-fax address, repeat from step 6.

14. Press the right Any key to select ⋖Done⋗.

15. Press (Main Menu) to return to the Main Menu screen.

Storing in One-touch

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Address Book Settings⋗, then press [OK].

If a password has been set for the Address Book, enter the password to enter Address Book Settings menu. Enter the password using - (numeric keys), then press [OK].

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Register One-touch⋗, then press [OK].

5. Use [ ] , [ ] or (Scroll Wheel) to select the One-touch you want to register, then press [OK].

6. Use [ ] , [ ] or (Scroll Wheel) to select ⋖E-mail⋗ or ⋖I-Fax⋗, then press [OK].

7. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Register Name⋗, then press [OK].

8. Use the software keyboard to enter the recipient's name.

You can enter up to 16 characters for the recipient's name.

Caution

9. If you are finished, press the right Any key to select ⋖Set⋗.

10. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Register One-touch Name⋗, then press [OK].

11. Use the software keyboard to enter the One-touch name.

You can enter up to 12 characters for the One-touch name.

12. If you are finished, press the right Any key to select ⋖Set⋗.

13. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Destination Registration⋗, then press [OK].

14. Use the software keyboard to enter the recipient's e-mail/I-fax address.

You can enter up to 120 characters for the e-mail/I-fax address.

15. If you are finished, press the right Any key to select ⋖Set⋗.

16. Press the right Any key to select ⋖Register⋗.

If you want to register another e-mail/I-fax address, repeat from step 5.

17. Press the right Any key to select ⋖Done⋗.

18. Press (Main Menu) to return to the Main Menu screen.

When the Machine's Own SMTP Receiving Function is Used

When the machine's own SMTP receiving function is used, follow the procedure below to set up the E-mail and I-fax reception functions.

1. Press (Main Menu).

2. Press the right Any key to select ⋖Additional Func.⋗.

3. Use [ ] , [ ] or (Scroll Wheel) to select ⋖System Management Set.⋗, then press [OK].

If the System Manager ID and System Password have been set, enter the System Manager ID and System Password using - (numeric keys), then press (Log In/Out).

4. Use [ ] , [ ] or (Scroll Wheel) to select ⋖Network Settings⋗, then press [OK].

5. Press the right Any key to select ⋖Done⋗.
